Our Commitment to Privacy

National Corporate Housing, Inc. and its subsidiaries and affiliates (collectively “National,” “our,” “we” or “us”) are committed to respecting your privacy. This Privacy Policy describes how we collect, use, disclose, store and otherwise process information when you use our website(s) or engage with our technology platforms (the “Sites”), or purchase one of our many service offerings. This Privacy Policy also addresses how we handle employment data submitted in response to job openings we post on websites we control. We urge you to read this Privacy Statement so that you understand our commitment to you and your privacy, and how you can participate in that commitment.

National proudly offers Surprisingly Superior Service to temporary housing and relocation customers from all over the world. As National’s reach has grown, so has our commitment to securing the personal data we receive from our customers and from users of our digital offerings via the internet.

The European Parliament adopted the General Data Protection Regulation (“GDPR”) in 2016. While the regulation mandates that National protect the personal data and privacy of EU data subjects, National is committed to extending its many protections to all of its customers across the world. If there is any conflict between the policies in this privacy policy and GDPR, the GDPR principles shall govern.

The State of California has also passed the Consumer Privacy Act of 2018 (“CCPA”). This Privacy Policy has been updated to include required information for California residents where those requirements do not otherwise overlap with GDPR.

Information We Collect About You

National collects personal information about you in connection with many of our services.

"Personal data", "personal information", or "PII" means any information relating to an identified or identifiable natural person. An identifiable person is one who can be identified, directly or indirectly — in particular, by reference to an identification number or to one or more factors specific to his or her physical, physiological, mental, economic, cultural or social identity.

Customers who reserve housing with National through its various platforms or partner providers may be subject to a background check if required to secure the reservation. National uses secure third-party providers to facilitate a background check. National will use its best effort to advise guests reserving housing requiring a background check that a background check is required prior to guests selection of the corresponding housing option.

By providing information to us, you are representing that you are authorized to disclose such information in the manner and for the purposes being disclosed. You agree to indemnify and hold National, and its affiliates, officers, directors, agents, partners and employees, harmless from any claim or demand, including reasonable attorneys' fees, made by any third party due to or arising out of the information you disclose to us.

Technologies We Use to Collect Information About You

When you visit the Sites, we place a text file called a “cookie” in the browser directory of your computer’s hard drive to facilitate access to our Sites and to personalize your online experience. A cookie is a small piece of information that a Sites can store on your web browser and later retrieve. Cookies contain non-personally identifiable information about the user and only identify the user’s computer. You can most likely set your browser’s options not to accept cookies, but this may prevent you from accessing all of the features of the Sites.

Cookies enable the Sites to recognize the information you have consented to give us and help us determine what portions of the Sites are most appropriate for your needs. While you may disable the usage of cookies through your browser settings, we do not change our practices in response to a "Do Not Track" signal in the HTTP header from your browser or mobile application. We track your activities if you click on advertisements for other services on third party platforms such as search engines and social networks, and may use analytics to track what you do in response to those advertisements.

We also work with third-party companies, including Google, that use tracking technologies to serve advertisements on our behalf across the Internet. These companies may collect information about your visits to our Sites and your interaction with our advertising and other communications. We are not responsible for the practices employed by websites linked to or from our Sites or the information or content contained therein. Often links to other sites are provided solely as pointers to information on topics that may be useful to the users of our Sites. We do not endorse, approve, certify or control these sites and we do not guarantee the accuracy of the information presented on any third-party site. Please remember that when you use a link to go from our Sites to another site, our Privacy Policy is no longer in effect. National is not responsible for the privacy practices employed by such third-party websites. Your browsing and interaction on any other site, including sites which have a link on our Sites, is subject to that site’s own rules and policies. How We Use Information We Collect About You

National will not rent or sell your Personal Information to others but may disclose personal information with third- party vendors and service providers that work with National. We will only share Personal Information to these vendors and service providers to help us provide a better product or service to you in furtherance of the relationship you desire to have with National.

In cases of onward transfer to third parties of your personal data, National is potentially liable. In particular, National remains responsible and liable under GDPR if third-party agents that it engages to process the personal data on its behalf do so in a manner inconsistent with its principles, unless National proves that it is not responsible for the event giving rise to the damage.

We may share personal information with the following categories of third parties:

  • Service providers and vendors who provide services such as data analytics, payment processing, order fulfillment, customer service, auditing, marketing services, and IT services

Non-Personal Information

We may aggregate and create non-personal information we collect under any of the circumstances described above by excluding information that makes the data personally identifiable to you. We may share this aggregated and non-personal information with third parties and our affiliates in relation to our marketing efforts, Site improvement and to enrich our products and services. We reserve the right to share aggregated and non-personal information with third parties, including advisors, advertisers and investors, for the purpose of conducting general business analysis.

Employment Applicants

Our Website includes a Careers feature that allows you to submit an online job application. When you submit an online application, you will be required to provide personal information, including but not limited to your name, contact information, job interests, educational and job history, and references. This information will be used by us to assess and process your application.

The online application process is hosted and supported by a third-party service provider. The Applicant Tracking System receives and stores the information you provide. It does not disclose the personal information it receives and maintains for us to outside third parties, unless otherwise required by law.

We do not share the information you provide in the online application with anyone outside of National except as we believe is required by law.

Use of Email and Marketing

We will use your email address to send a confirmation and, if necessary, may use the other information to contact you for help in processing the reservation; send you pre-arrival confirmation details; send you copies of your bills when you request them; and send you periodic or market research surveys.

National uses your contact information to recommend products and services that might be of interest to you, to send you marketing and advertising messages such as newsletters, announcements, or special offers or to notify you about our upcoming events.

National allows you to opt-in to receive advertisements based on your interests. If you do not opt-in, you may still receive advertisements but they will not be tailored to your interests. National also allows you to opt-in to receive communications, such as emails or text message marketing. You may be removed from any future marketing communications by responding with “unsubscribe” in the body of your request.

Cross-Border Data Transfers

By providing your information to National in the manner described in this Privacy Policy, you acknowledge and agree that we may transfer, store, use, and process your information, including any personal information to countries outside the European Economic Area ("EEA") including the United States. Please note that laws vary from jurisdiction to jurisdiction, and the privacy laws applicable to the places where your information is transferred to or stored, used or processed in, may be different from the privacy laws applicable to the place where you are resident.

Security Features

Security of all information is of the utmost importance for National. National uses technical and physical safeguards to protect the security of your personal information from unauthorized disclosure. We use industry standard encryption protocols to keep all information secure. We also make all attempts to ensure that only employees and third parties have access to the personal information that they need to perform their function as it relates to the service we provide you. Nevertheless, such security measures cannot prevent all loss, misuse or alteration of personal information and we are not responsible for any damages or liabilities relating to any such incidents to the fullest extent permitted by law. In the case of a data breach, we will notify you of any loss, misuse or alteration of personal information that may affect you. We will notify relevant regulatory bodies within 72 hours of the discovery of a breach.

We also require that our third-party service providers and channel partners agree to keep all personal information we share with them confidential and to use the information only to perform their obligations in the agreements we have in place with them. These third-party service providers and channel partners are expected to maintain privacy and security protections that are consistent with National's privacy and information security policies.

Data Retention and Storage

National retains your information for business purposes, for as long as your account is active, and/or as long as is reasonably necessary to provide you with our products and services. National will also retain your information as reasonably necessary to comply with our legal obligations, resolve disputes and enforce our agreements. We may also retain cached or archived copies of your information for a reasonable period of time. At any point in time, you can withdraw consent and we will immediately stop processing your data.

Your Privacy Rights

National gives you choices about the ways we collect, use, and share your personal information.

You have the right to access and limit the use and disclosure of your personal data. If you would like to express your point of view, challenge an explanation of data use, or otherwise obtain further information, contact our Data Protection Officer at the number or email below. If at any time after registering for information, your personal information changes, notify us and we will update your contact information. Please note, at any time, if you desire to obtain or transfer your information, we will provide you with your personal data in a structured and commonly used electronic format.

Customers may contact National with any questions, concern, or inquiries about this Privacy Policy or company data. If you would like to make a formal complaint, please contact [email protected]. Access to and Correction of Personal Information

National provides you with many opportunities to access and update your personal information. You can ensure that any account, contact, or financial information is up-to-date and can correct, update or delete inaccuracies to the information by logging into any of your online accounts with us or contacting us at [email protected]. We will respond to your request to access within three (3) business days. In some cases, however, we may limit or deny your request if the law permits or requires us to do so, infringes on the privacy of other individuals or internal procedures, or if we are unable to verify your identity.

Location of Data Processing/Storage

Any personal information collected about EU data subjects via our websites or through our services is processed in The United States by National or by a third party acting on our behalf. When you provide personal information to National, you consent to the processing of your information in The United States.

Changes to This Policy

We reserve the right to change the terms of this Privacy Policy at any time. When we make changes, we will revise the “last updated” date at the top of the policy. If there are material changes to this Privacy Policy or in how National will use your personal information, we will notify you by prominently posting a notice of such changes here or on our home page, or by sending you an email.
